Application for Exemption of Industrial Training by Industrial Internship

 

Background

 

All Engineering students need to complete an Industrial Training Program prescribed by their departments. They need to fulfill all the Industrial Training requirements before they are allowed to graduate. In addition, the University also welcomes outside Industrial Internship opportunities for our Engineering students because that will also benefit them in gaining real life working experience.

 

Such Industrial Internships are usually in the form of internship programs in the summer or last for a year. They normally take place with self-initiation on a voluntary basis after the students have completed their second year of studies. Students are normally required to take their Industrial Training in the winter and summer sessions in their first and second years. When a student joins an Internship Program in his/her second year summer, it may clash with his/her scheduled Industrial Training. 

 

Apply for Exemption

 

In order not to miss their Industrial Training, students attending Industrial Internships can choose to reschedule those outstanding modules, wherever possible, by contacting the Industrial Training Center. But if they want to apply for exemption from the remaining training modules, they can choose to postpone the remaining Industrial Training at their own risk because in case the exemption is finally not approved, they need to find time to make up the missed training in their third year.

 

This exemption procedure only applies to internships referred by the University, other internships which students get by themselves from outside will not be considered for exemption. The exemption will be considered based on the Internship_Report that the student submits after completing the internship. Exemption is not guaranteed, it all depends on the relevancy of the actual work done in the internship. If it meets the requirements, then the student can be exempted from the remaining Industrial Training modules. If the internship work is irrelevant to the Industrial Training program or the student did not perform to the company's satisfaction, then the student may need to make-up the remaining modules.

 

Exemption Application Procedures

 

Before a student starts the internship, if he/she plans to apply for exemption on the remaining Industrial Training modules, he/she needs to submit an application form to the Industrial Training Center TWO weeks before the commencement of the internship.

 

It is important to establish early contact, otherwise your academic supervisor might not be able to visit you, if there is any, during your internship period.

Two weeks before the completion of the internship, you should pass your company supervisor the "Assessment and Evaluation Form" and remind the company supervisor to assess and to comment on your performance and your internship report.

You should write up your internship report within TWO weeks upon completion of the internship. You should submit one hardcopy to ITC and one softcopy to the company and remind the company supervisor to fill in the "Assessment and Evaluation Form" and mail it back to the following address: The Industrial Training Center, School of Engineering, HKUST, Clear Water Bay, Kowloon, Hong Kong.


Industrial Internship Report

 

The report should keep a detailed record of the works actually done by the student in the internship and his/her observations of the application of professional knowledge and technical skills in the industrial environment. It must give evidence that practical experience and technical knowledge has been gained. A good performance is expected even under difficult circumstances.

For One Year Internship, you can decide whether you like to compile a "Full Year" internship report. The exemption application procedure only requires you to submit a report which you think is "enough" to fulfill the requirements.
 

Although industrial internship can be considered for exemption for part of the industrial training program, it is expected that the training contents will be very different. The exemption will be considered based on (a) the technical contents and relevancy of the work done with respect to the student’s academic program, (b) the results and outputs generated by the student, (c) the appreciation and experience gained by the student, (d) the evaluation of performance by the company supervisor, and (e) the total duration of recognized work done within the internship. Therefore, the student should demonstrate all these in the report, and only based on which the exemption application will be considered.

 

The main body of the Industrial Internship Report should consist of 10-15 pages on A4 paper for summer internships. For one-year internship, students can choose to include more contents as they like. This report will serve as a useful reference in future job searching.

 

The report should be clear, easy to understand for readers having general engineering experience but without specialized knowledge of the processes or fields discussed. Clear and logical technical English are required without jargons or colloquialisms. 

 

A weekly activity log should also be compiled to list the key activities. It should be provided as appendices and serves as a quick reference and reminder when later compiling the report. The activity log needs to be endorsed by the company supervisor on a weekly basis. It is important that brief descriptions of the works the student actually did are included in the report, not just listing general terminology or vague bullet points. Charts, flow diagrams, sketches, drawings, photographs, etc. can be used for illustrations.

 

 

Content of the Internship Report

 

There is no fixed format for this report. There are few forms to be used [Download All Forms in Zip format], including the Cover Page, the Weekly Activity Log, and the Company and Student Evaluation Forms. Following are the suggested structure for your reference.

 

1) Cover page

Details of your attached Company, Company Supervisor's name, period of internship, etc.

 

2) Table of contents

 

3) Chapter 1 -- Introduction and background of the internship

Give a brief summary of the company, department, your position, job descriptions, and the duration of the internship.

 

4) Chapter 2 -- Training Activities

Selected topics or finished projects should be discussed in the body of the report. Particular jobs can be analyzed from technical point of view in order to illustrate your understanding of the technology and the applications involved.

  

5) Chapter 3 -- Conclusions

Express your general impressions on the internship, your appreciation and experience gained from technical and business perspective, benefits accrued during the internship, and suggestions for future improvements.

 

6) Appendices

* Attach Weekly Activity Log - It serves as a useful record of your training and will help in the assessment.

* Student Evaluation Form - Student should complete this form and attach it at the back of the report.

* Company Assessment and Evaluation Form - Student should pass this form to the company supervisor and remind the company supervisor to fill in within one week after completion of the internship. This form must be returned to ITC from the company directly.

 

Students should submit one hard copy of their Industrial Internship Report within two weeks upon completion of the internship to the office of the Industrial Training Center at Room 5570 (Lift 27/28).  On top of this, a soft copy of the report should also be sent to enggjob3@ust.hk.  The Industrial Training Center will then forward the report to the company supervisor for marking.
